Baseline Condition Record
A structured “as-is” snapshot at onboarding (or at the start of a major phase), including key systems, finishes, known defects and interfaces supported by a curated photo log and a clear index.
Capital Activity Log
A plain-language ledger of material work and decisions: scope summaries, dates, parties, approvals, change moments and open items. Designed to answer what happened, when and why.
Evidence & Documentation Register
A centralized index of photos, invoices, proposals, permits (where applicable), site notes and key communications, organized so a third party can reconstruct the record quickly.
Continuity Brief (Monthly or Quarterly)
A consistent brief capturing what changed, what matters, what’s pending and what decisions are approaching.
Event Memo (as required)
A concise memo triggered by a material incident (weather event, envelope concern, HVAC failure, contractor dispute, major change order). Documents condition, actions taken, parties involved and supporting evidence while facts are fresh.
Transition / Handover Package
A clean handover set prepared for resale diligence, refinancing, estate transition or changes in the property team. Built to reduce advisor hours and prevent relearning from scratch.

Plain-language map of critical systems, service relationships and maintenance commitments.
Scope Verification Notes (Pre/Post)
